Job Description Position Summary: We are looking for an amazing executive assistant to provide high-level administrative support to company executives and management staff by conducting research, preparing statistical reports and presentations, extensive calendaring and appointment coordination, updating social media, handling information requests and performing administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, ordering supplies, processing expense reports and scheduling meetings for executives and management. Essential Job Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. -Type reports, memos, letters and other documents using word relevant computer and web-based applications. -Answer phone calls and direct calls to appropriate parties or take messages. -Record, type and distribute meeting minutes. -Greet visitors and determine whether they should be given access to specific individuals. -Read and analyze incoming memos, submissions and reports to determine their significance and plan their distribution. -Perform general office duties such as ordering supplies and maintaining records management database systems. -File and retrieve documents, records and reports. -Open, sort and distribute incoming correspondence, including faxes and email. -Make travel arrangements and process expense reports for executives. -Review and update social media accounts. -Conduct extensive web research and compile findings into summaries and/or MS Excel spreadsheets. -Prepare meeting presentations. Essential Candidate Competencies: -Communication Proficiency, both verbally and in writing. -Excellent Time Management & Ability to prioritize, as well as keep organized. -Collaboration Skills. -Personal Effectiveness/Credibility. -Flexibility. -Technical Capacity and ability to manage multiple social media platforms. -Stress Management/Composure during business . -Salesforce, similar CRM experience preferred. Position Type and Expected Hours of Work: This is a full-time position. Days and hours of work are typically Monday through Friday, 8:00 am to 5 pm with occasional weekend and evening work required. Travel: No overnight travel is expected for this position. There may be occasional local day travel. Required Education and Experience -High school diploma, Associates Degree preferred. -Five years of administrative experience.
