Job Description:/h3:
This Position is located in Brooks, California
Under direct supervision, provides support to the Administration Department and Tribal Council. Assists other departments, as requested.
Office Operations
:Prioritizes and monitors workflow; seeks confirmation and clarifying information, and ensures supervisor is aware in advance when deadlines cannot be met.
o Completes a high volume of work, managing competing deadlines, and maintains composure under pressure.
:Using Outlook, provides notice of meetings, events, and other obligations; provides follow:ups and reminders via phone and email. Maintains calendars for multiple individuals as well as group schedules. Keeps department
directors/managers, tribal leaders, and others informed of last:minute changes.
o Reviews incoming mail; logs, scans, and ensures accurate and timely distribution.
:Answers phones, interacts with staff and outside visitors, ensures
information/messages are complete and relayed appropriately (written form, email, text).
o Reviews documents with close attention to detail (language, vocabulary, spelling, grammar, punctuation, sentence structure, etc.), identify errors and suggest edits.
:Maintains organized and up:to:date records retention systems, including Tribal Council meeting materials, minutes, resolutions, and other important governmental documents.
:Reviews dated materials with retention schedule and prepares paperwork to request document destruction.
:Maintains department supplies, manages copier service calls, and ensures copier paper remains full.
:Maintains database of business, government, and tribal contacts.

Tribal Council and Other Meetings
:Copies, organizes, and distributes materials and documents such as meeting minutes, resolutions, contracts, and reports.
:Sets up for weekly Tribal Council meeting, ensures equipment is running correctly. Remains at office until Tribal Council meeting adjourns, clears meeting materials, and safeguards materials in Administration Department.
:Monitors Tribal Council meeting progress and keeps presenters informed of timing changes.
:Coordinates other meetings for up to 30 people, securing room/conference site, recommending catering options, audiovisual needs, and appropriate room set:ups, preparing

:Knowledge of standard office principles and procedures. Ability to learn and comply with specific policies and procedures relating to tribal administration.
:Knowledge of word processing and database software (Microsoft Word, Outlook, Excel, PowerPoint, Access). Knowledge of Visio and Publisher a plus.
:Knowledge of basic math principles.
:Knowledge of principles of business English, grammar and punctuation.
:Knowledge of principles of telephone etiquette.
:Skill in using general office equipment such as multi:line telephone system, fax, copiers, computers, electronic messaging, and electronic calendaring.
:Skill in communicating effectively with others both orally and in writing; maintains effective working relationships with those contacted in the course of business.
:Skill in dealing effectively with staff at all levels within the organization (peers, department directors and managers, tribal leadership, and tribal citizens).


o Maintains a professional image commensurate with position supporting high level of organizational leadership.
:May be privy to confidential information and work product; maintains confidentiality and recognizes when level of discussion or information is outside the positions purview.
